How to Update Club Permit Details With VicRoads

You have 14 days. If your vehicle's details change, your personal details change, or you join a new club, VicRoads expects you to update club permit details within a fortnight. How you do it depends on what changed — some updates go through myVicRoads, some by email, and some need a trip to a Customer Service Centre.

The 14-day rule

The Victorian Government's club permit conditions require you to tell VicRoads if your vehicle's details change, if your personal details change, or if you join a new club. VicRoads gives you 14 days to let it know of any change to your club permit details.

That window is short, and it runs from the change itself rather than from your renewal date. A permit renewed in March on a car resprayed in April still needs updating in April.

How to update club permit details, by type of change

Four kinds of change come up, and each has its own path.

Your address

If your renewal is due, VicRoads says the easiest way to update your address is to renew through your myVicRoads account and add the new details. If your renewal is not due yet, or you are changing your residential or postal address, call the VicRoads contact centre or visit a Customer Service Centre.

The garage address is a recorded vehicle detail too, and it is the reference point for the logbook. Every drive of more than 100 metres from it needs an entry, so if the vehicle moves, so does that line.

The vehicle's colour

A colour change is handled by email to VicRoads, or in person at a Customer Service Centre.

The vehicle's description

A change to the vehicle's description has to be reported in person at a Customer Service Centre. Bring a letter with the permit holder's name, the permit number and the details of the change, plus a vehicle eligibility and standards declaration form signed by a Club Safety Officer or Scrutineer of your club.

Modifications

You need to tell VicRoads if you modify the vehicle. Some changes need an additional approval certificate. For changes that do not, your club re-inspects the vehicle and issues a new vehicle eligibility and standards declaration form, and that form goes back to VicRoads within 14 days of the modification.

Changing clubs

Switching clubs is an update with a deadline of its own. VicRoads asks you to attend a Customer Service Centre with a signed letter telling it about the transfer, a vehicle eligibility and standards declaration form from the new club for each vehicle you are moving, and a letter from an official at the new club confirming you are a current member.

The condition to watch is the gap. If you switch clubs, you cannot have a gap longer than 14 days between your memberships. Join the new club before you resign from the old one, not after.

One thing you cannot update: the permit holder

VicRoads is direct about it: you cannot transfer a club permit. If you give or sell the vehicle to another person, the permit has to be cancelled, and the new owner applies for their own.

There is one exception, and it is a narrow one. If the permit holder dies, their spouse or domestic partner can take over the permit if they belong to an approved club.

What happens if you do not update

The conditions carry one stated consequence for not following them: VicRoads may suspend or cancel your club permit.

The practical risk is quieter than that. VicRoads sends a renewal notice about six weeks before the permit expires. If the address on record is out of date, that notice can go astray, and if the permit expires before the renewal is processed you cannot drive the vehicle until you have your renewal receipt. Our guide to renewing a club permit in Victoria covers that timing.

Common mistakes when updating details

  • Waiting for the renewal notice. The 14 days run from the change, not from the anniversary of the permit.
  • Treating a respray as cosmetic. Colour is a recorded detail and has its own update path.
  • Resigning from a club first. More than 14 days between memberships breaches the conditions.
  • Assuming the permit goes with the car. A club permit cannot be transferred to a new owner.
  • Leaving an old address on record. The renewal notice arrives about six weeks before expiry, and you need to receive it.

Questions people ask about updating club permit details

How long do I have to tell VicRoads about a change?

14 days. VicRoads applies that window to changes in your club permit details, and the conditions require notification when vehicle details, personal details or club membership change.

Can I change my address online?

If your renewal is due, VicRoads directs you to renew through myVicRoads with the new details. Otherwise, call the VicRoads contact centre or visit a Customer Service Centre.

Do I need a new roadworthy after a modification?

If a modified vehicle does not comply, VicRoads may ask you to give your club a roadworthy certificate or an approval certificate, such as a VASS approval certificate, showing it meets the standards for club permit vehicles. Changes that do not need additional approval instead need a club re-inspection and a new vehicle eligibility and standards declaration, sent to VicRoads within 14 days.

Does changing clubs change my eligibility?

No. Eligibility, roadworthy and logbook rules are set by VicRoads and apply regardless of which club endorses the permit. Our eligibility checklist sets out the tests, and our walkthrough of the scheme separates the club's role from VicRoads'.
